The secretary of the complaints committee shall send a copy of the complaint to the head of the institution. The head of the institution shall provide the necessary information regarding this matter in writing to the complaints committee as soon as possible, unless he is of the opinion that the complaint is manifestly inadmissible or manifestly unfounded. He shall add thereto the comments to which the complaint otherwise gives rise. The secretary of the complaints committee shall notify the complainant in writing of the content of this information and these comments.
If the supervisory committee has mediated regarding the decision that is the subject of the complaint and has communicated its findings in writing to the complainant and the head of the institution, the secretary of the complaints committee shall add the findings to the case documents.
De secretaris van de beklagcommissie zendt het hoofd van de instelling een afschrift van het klaagschrift toe. Het hoofd van de instelling geeft dienaangaande zo spoedig mogelijk schriftelijk de nodige inlichtingen aan de beklagcommissie, tenzij hij van oordeel is dat het klaagschrift kennelijk niet-ontvankelijk of kennelijk ongegrond is. Hij voegt daaraan de opmerkingen toe waartoe het klaagschrift hem overigens aanleiding geeft. Aan de klager geeft de secretaris van de beklagcommissie schriftelijk kennis van de inhoud van deze inlichtingen en opmerkingen.
Indien de commissie van toezicht omtrent de beslissing waarover wordt geklaagd heeft bemiddeld en zij haar bevindingen schriftelijk aan de klager en het hoofd van de instelling heeft medegedeeld, voegt de secretaris van de beklagcommissie de bevindingen bij de processtukken.
